Student Academic Appointment (SAA) procedures

Types

  • Associate Instructor – A graduate student who is employed as a teacher and engages in activity as a teacher, providing the employee has responsibility for assigning grades for at least a portion of a course and has direct contact with students.
  • Graduate Assistant – A graduate student who, in an academic department or in an administrative office, assists in work associated with the duties of faculty members or administrators, such as library searches, curricular development, or paper grading, and who is not an Associate Instructor, Research Assistant, or Faculty Assistant.
  • Research Assistant – A graduate student who is engaged in or assists with original, professional-level research. 

All SAA appointments include fee remission and health insurance.

Hiring process

  1. Assistant Dean of Finance sends an email to all faculty with deadlines for all SAA selections.
    • *Submission Deadlines:
      • Fall: July 15
      • Spring: November 15
      • Summer: April 15
      *Selections must be submitted to department assigners by these dates.
  2. Department assigners finalize assignments:
    • Computer Science: Charles Pope
    • Informatics: Shabnam Kavousian
    • Engineering: Suha Lasassmeh
    • Information & Library Science: Pnina Fichman
  3. Departmental Finance Manager reviews funding availability for all requests.
  4. Financial Aid Representative sends out the SAA contracts.
  5. Payroll begins the hiring process:
    • Processes Hire eDocs
    • Initiates I-9 verification (if required)
    • Conducts background checks (if required)
    • Ensures proper documentation is completed

Important notes
It is critical to submit SAA hiring requests on time to ensure a smooth hiring process. Late submissions may result in serious consequences, such as a temporary lapse in health insurance coverage for the SAA or delays in obtaining necessary credentials like parking passes. Additionally, processing delays could impact payroll setup, causing payment issues. To avoid these complications, all deadlines must be strictly followed.

FAQ's

During the Academic Year, SAAs are required to be enrolled in a minimum of 6 credit hours per semester. Summer SAAs do not need to be enrolled to be employed.

No – Student Academic Appointments require a stipend, tuition remission, and health insurance.

Their pay would be pro-rated at 75% of the rates above. Tuition remission and health insurance would still be offered at the same rate.
