The Luddy School of Informatics, Computing, Engineering, and Library Sciences ensures fair compensation when staff temporarily take on additional responsibilities due to a vacant appointed position. Eligible employees may receive supplemental pay of 10% of their regular salary for the duration of these temporary duties, approved in three-month increments.
Supplemental pay policy for temporary pay
Eligibility
- Appointed staff temporarily filling duties for a vacant position within their same job code or a higher job code.
- Supplemental pay will be provided at a rate of 10% of the employee's regular salary.
- Approval is granted in three-month increments. If an extension is needed, the supervisor must submit a new request at the end of the initial three-month period to ensure continuity of pay.
Procedure
- Identify vacancy and assign duties
- The supervisor identifies a vacancy and assigns temporary additional duties to eligible staff.
- Submit supplemental pay request
- The supervisor submits the following information to Luddy HR at sicehr@iu.edu:
- Vacancy details
- Additional assigned duties (including the employee(s) the duties will be assigned to)
- Proposed start and end dates (initial request limited to three months)
- The supervisor submits the following information to Luddy HR at sicehr@iu.edu:
- Review and approval
- Luddy HR verifies eligibility and obtains any other necessary approvals.
- Process supplemental pay
- Upon approval, Luddy HR sends the supplemental pay request to Luddy Payroll.
- Extension requests
- If the supervisor needs to extend the temporary assignment beyond three months, they must submit an extension request to Luddy HR before the current approval period ends.
- End of temporary assignment
- The supervisor is responsible for notifying Luddy HR to discontinue supplemental pay once the vacancy is filled or additional duties end.
