Summer salary policies
Faculty may receive summer salary for activities such as research, instruction, or service/administration performed during the summer months. The following policies apply:
Maximum summer salary
- Faculty are eligible to receive summer salary up to 11 weeks of their 10-month base salary from the prior academic year, which is equivalent to 27.5% of their base salary.
Exceptions
- Faculty can request summer salary up to 13 weeks (equivalent to 32.5% of base salary). This requires approval from the department chair, the dean, and the Vice Provost for Faculty and Academic Affairs (VPFAA). Instructions for requesting an exception are provided in the procedures section below (hyperlink to the exception section).
Summer teaching pay
Summer instructional pay is determined by the university and is based on the number of credit hours taught.
- Teaching two 3-credit courses during the summer is considered a full summer load. Compensation for a full summer load is 22% of the faculty member’s base salary from the preceding academic year.
- Summer instructional pay counts toward the maximum summer salary cap of 27.5% (or 32.5%, if approved).
The current rate structure is:

Summer research pay
Faculty who conduct research during the summer may be eligible to receive summer salary, based on the amount of time dedicated to research activities. There are two ways to request summer research pay—please choose the option that best fits your needs:
- Standard Tab: Use this option to request pay based on full weeks of research. The system will automatically calculate your salary based on the number of full weeks entered, using the university's weekly cap of 2.5% of your 10-month base salary per week.
- Advanced Tab: Choose this option if you need more flexibility. It allows you to enter specific start and end dates, which is helpful if you're not working in full week increments or are requesting less than the maximum amount allowable.
Important: You may complete either the Standard Tab or the Advanced Tab—not both.
Please keep in mind:
- The maximum summer research pay is capped at 27.5% of your 10-month base salary from the prior academic year (unless you are seeking approval to go up to 32.5%).
- The weekly pay cap is 2.5% of of your 10-month base salary from the prior academic year.
- These limits are based on university policy, not on the available balance in your grant or research accounts.

If you are requesting pay for more than 11 weeks of research (11 weeks is equal to 27.5% of your 10-month base salary from the prior academic year) an exception must be requested.
Procedures
Submitting Summer Salary via the Summer Salary App
All summer research, service, or administrative salary must be entered using the Summer Salary App. The deadline for research submission is May 1, 2025.
Step-by-step instructions:
- Log into the Summer Salary App using your IU credentials.
- Review your default summer teaching assignments and administrative supplements, if applicable, to ensure they are accurate.
- Enter all research you plan to request for summer salary.
- Confirm that the total summer compensation—including teaching, research, and any supplements—does not exceed the maximum of 11 weeks (27.5%) unless an exception is being requested.
- Submit your entry for departmental processing.
Note: Even if you are not requesting pay for research, you should still log into the system to verify your summer teaching assignments, and any other summer pay components are listed correctly.
Exception request procedures
Requesting a Summer Salary Exception (up to 13 weeks / 32.5%)
Faculty seeking to exceed the standard 11-week cap must request an exception using the Summer Salary Exception Form.
Instructions for Requesting Approval to Exceed 27.5% Summer Salary
Faculty members who wish to exceed the standard summer salary cap of 27.5% (up to a maximum of 32.5%) must complete the Summer Salary Exception Form and follow the steps outlined below:
- Complete the Form
Fill out the form for the specific period in which you are requesting to exceed the 27.5% summer salary cap. Please reach out to Anna Dove ( annadove@iu.edu) if you have questions on how to complete the form. - Sign the Form
Once completed, sign the form to initiate the approval process. - Obtain Required Approvals
Department Chair: Submit the signed form to your department chair for review and approval.
Dean: After the chair has approved, forward the form to the Dean’s Office for review and signature. - Submit to VPFAA
Once all unit-level approvals have been secured, email the completed and signed form to apps@iu.edu for final review by the Vice Provost for Faculty and Academic Affairs (VPFAA). VPFAA will review the request and return the approved form to you via email once it has been signed. - Upload the Approved Form
Once you’ve received approval from the VPFAA, please upload a copy of the signed form to the Summer Salary App as part of your submission. This must be submitted as soon as possible and before the 11th week of pay begins to ensure timely processing.
