Exchange Online and Junk Email

Basic Recommendations

  • You really need to periodically scan the email that automatically goes into your Junk Email email folder.
  • When you find non-spam email from senders you care about you can add them to your safe senders list. If you reach your email using Microsoft Outlook, you can do that directly from the Message Junk menu while reading the message as shown in this image:

If you don't use Outlook, you can do this as follows using the Outlook Web App (OWA) using the instructions in the UITS KB page About junk email settings in Exchange at IU or as follows:

  • Go to https://mail.iu.edu/
  • If you are already CAS authenticated, you will not have to log in. If not, you must use username@iu.edu (where you replace username with your actual IU username and you must use @iu.edu, even if your normal IU email address is @indiana.edu).
  • Once logged in, click the settings (gear) icon which should be the 4th icon from the top right corner.
  • From the very bottom of that menu, select View All Outlook Settings.
  • Click the Junk email menu item from the navigation
  • Scroll down to the Safe senders and domains section of the page
  • Click +Add and enter sender email addresses (eg. janedoe@zoom.com) or entire domains (zoom.com) that you want to add to the safe senders list. After typing the entry, just hit enter to add it to the list. Note that you can't use subdomains and wildcards in the safe senders list. For example, if you added the domain indiana.edu that would not include cs.indiana.edu in the allow list. You can also not use a wildcard with something like *.indiana.edu as that will result in an error because * is an invalid character.
  • Repeat, as needed, to add all the addresses and domains you want to the safe senders list.
  • Click Save to save out your changes. Be sure not to forget this step because the added entries will disappear once you navigate away from this page if you don't

We have seen a small number of cases where Safe Sender additions are disappearing even after being properly added and saved. You are encouraged to check back the next day to be sure this problem is not impacting you. If you do see this problem, please report it to UITS.

  • If you allow senders and domains, keep an eye on the email in the Junk Email folder to be sure you are allowing the right addresses and domain and add new ones as they appear in junk. You may find that you have allowed somedomain.com but important emails from that domain are sent using a subdomain like email.somedomain.com so you must add all variants since the domain match must be exact.
  • Note that marking a message as Not Junk in Outlook or OWA will move the message into your Inbox but it will NOT result in the sender being automatically allowed and that does not feed into any training algorithm to prevent further incorrectly flagged messages.
  • Any group email accounts you use will have a separate Junk Email folder and Safe Senders list so those must also be managed. The process is the same as that noted above for your own account but note that when using OWA via https://mail.iu.edu/ you will need to Open Another Mailbox and switch to that group account before you can go to the junk email settings for that account.
